Integrated asset management and paperless depot workflows
BCT implemented IBM Maximo Application Suite to bring asset records, maintenance, inventory and depot authorisations into one platform, improving preventive maintenance compliance and reducing duplicate inventory items.

Challenge
Fragmented systems and manual processes made it difficult to manage physical assets, work orders, inventory and procurement. Asset information and maintenance history lacked a single source of truth, while teams had limited visibility into work status, maintenance performance and resource availability.
Preventive maintenance was ineffective, and spare-parts inventory could be excessive or insufficient. Tracking lifecycle costs and asset performance was also difficult. Paper-based permits to work, shunting authorisations and locomotive handover and takeover records added to the administrative effort across depot operations.

Solution
BCT implemented IBM Maximo Application Suite 9 as a central platform for the complete asset lifecycle. The team reviewed existing depot processes and gathered requirements from customer stakeholders and end users to align the system with day-to-day maintenance needs.
Integrated workflows brought together asset management, work requests, planning, scheduling, execution, closure, inventory and procurement. Preventive maintenance plans, condition-based triggers and automated work generation supported more systematic maintenance. Dashboards and reports provided visibility into work-order status and maintenance KPIs, while resource planning covered manpower, skills, tools and availability.
BCT also developed custom applications for permits to work, shunting authorisations and locomotive handover and takeover. These digitised approvals, safety requirements and transfer records, including asset condition, defects, readings, pending work and responsibilities.
The platform used Red Hat OpenShift, with the Asset Configuration Manager add-on supporting structured asset and location hierarchies and historical records of asset movement. BCT configured dashboards, search criteria and reports, then conducted multiple training sessions to help end users adopt the system.
