Life-Sciences Company Migrates 35,000 Vendors and 1.6 Million Customer-Related Records
BCT built a TIBCO EBX MDM foundation that reduced duplicate records, governed data changes and phased migration across three source systems.
Client
Challenge
Vendor records were created independently and manually in three source systems. Without a centralised master, duplicate records and inconsistent information accumulated across the business, while new vendors could be created without a consistent approval or governance process.
The customer master had operated for five years, but customer, company and address information was stored in one flat table. A customer with more than one address therefore required a new customer record for every additional address, creating duplication and weakening the reliability of reporting and analytics.
The company needed a trusted source for both domains, with traceability back to each source system. It also needed to reduce manual re-entry and reconciliation, validate identities against an external reference and distribute approved records to downstream applications.
The implementation had to address a new Vendor Master while re-architecting a live Customer Master. The migration therefore required careful sequencing, source-specific workflows and a phased rollout that would not disrupt ongoing business operations.

The implementation had to address a new Vendor Master while re-architecting a live Customer Master. The migration therefore required careful sequencing, source-specific workflows and a phased rollout that would not disrupt ongoing business operations.
Solution
BCT designed and built the Vendor Master in TIBCO EBX around a core vendor entity with related contact, company and payment information. Source-system cross-references preserved links to records in each of the three systems.
Automated match-and-merge logic used each vendor’s DUNS number to identify and consolidate duplicates. Governed create and update workflows routed onboarding and changes to a data steward for review before approved records were published to downstream systems through Boomi.
For the Customer Master, BCT replaced the flat structure with linked Customer, Address and Customer-Address Relationship entities. The normalised model supported many-to-many relationships, allowing one customer to have multiple addresses without creating duplicate customer records.
Source-specific workflows, forms, business rules and role-based interfaces were configured for data stewards. A direct D&B DUNS lookup allowed users to search and validate customer identities during data entry, while Java and SQL supported custom logic, migration scripting and validation.
The team migrated approximately 35,000 existing vendor records. Customer migration covered approximately 400,000 customer records, 500,000 address records and 700,000 customer-address relationship records across three source systems. Delivery was phased by source, with the first customer source going live in April and the remaining two by July.
BCT ran requirement gathering for the Customer work in parallel with Vendor hypercare. This maintained programme momentum while the team stabilised the first solution and incorporated additional requirements surfaced by business users.

Impact
The new Vendor Master established a single, governed source of vendor data across three previously disconnected systems. Approximately 35,000 records were migrated within a three-month implementation delivered by a four-person team, ahead of the customer’s target date.
The redesigned Customer Master removed the structural cause of duplicate records created by multi-address customers. The normalised model improved the basis for consistent customer information, reporting and business decisions while retaining traceability to source systems.

Approval-based onboarding and automated distribution reduced manual creation and re-entry. Data stewards could manage records through controlled workflows, while DUNS validation and match-and-merge strengthened identity and data-quality controls.
Extended hypercare support helped stabilise both solutions, resolve post-go-live issues and implement priority enhancements. The programme delivered a scalable MDM foundation for additional source systems while the customer’s business teams continue to track year-over-year efficiency and cost measures.
