Challenge

The retailer needed to modernise operations across a growing network of more than 200 service stations. Each location used forecourt equipment with different operating requirements, while head office needed a single view of pump status, tank levels, sales, inventory and pricing instead of site-by-site monitoring.

The automation platform had to integrate with the retailer’s existing ERP and loyalty solution. It also needed to support the Philippine cashier-booth model, which differs from a conventional convenience-store point-of-sale setup, and connect with local payment rails such as PayMaya and QRPH or GCash.

The rollout had to move quickly as new co-branded stations opened. A wired installation model would have required civil works, cabling and additional site equipment at each location. The retailer needed a repeatable platform that could extend to new stations without redesigning the solution site by site.

Solution

BCT deployed FuelTrans NextGen Smart Wireless Automation as an end-to-end platform comprising a cloud Head Office System, IoT-enabled forecourt automation, an integrated Back Office System and POS, mobile access and fleet management. The cloud head-office dashboard gave central teams a single view of station status, alarms, inventory, sales, nozzle activity, payment methods, reconciliation and pricing, with central price control.

Wireless forecourt controllers connected dispensers, tank probes, automatic tank gauging equipment and price-pole devices. The architecture removed the need for civil works and cabling under the deployment model and included fallback and remote diagnostics to support operations across distributed sites.

BCT developed FuelTrans POS-lite specifically for the Philippine cashier-booth workflow. The lighter-weight POS provided a single-screen transaction and reporting flow, integrated PayMaya directly and supported QRPH and GCash. It also connected with the existing ERP and loyalty environment, discount and campaign rules, and automated end-of-day processing.

The platform supported B2B and B2C fleet-card fuelling, handheld-terminal registration, offline fleet transactions, configurable limits and discounts, and a fleet mobile app. Dealers and supervisors could monitor stations remotely through mobile dashboards. The platform was designed to extend progressively to new co-branded stations as the retailer’s network grew.

Impact

The retailer established a cloud-based operating model across more than 200 service stations, with head office teams able to monitor stations and control retail pricing from a central dashboard. The automation platform also extended to new co-branded stations as they opened.

Where automated single-point payment replaced manual multi-step transactions, peak-period queuing time was estimated to reduce by up to 50%. Integrated transaction processing and automated end-of-day routines were estimated to reduce manual cashier reconciliation effort by 45–60%.

The wireless installation model was estimated to reduce deployment costs by 25–30% compared with wired installations requiring cabling, civil works and additional site PCs. FuelTrans POS-lite also became a reusable product for other Philippine fuel retailers, turning a market-specific requirement into a repeatable capability.
